What To Run And When To Run It

An integral part of PHR is the Warehouse on the Web (WOW) reporting mechanism. Setting up employees for HR and payroll involves inputting transactions into the web-based PHR application screens and managing those transactions via web-based reporting. The PHR WOW reporting structure provides information on employee demographics, appointments, time/leave, pay and security. Reports fall into two categories: (1) reports for maintaining and processing PHR transactions and (2) reports for general information purposes only.

There is a link on the PHR main "splash" web page called WOW Reporting. WOW Reporting takes you to the PHR Report Tree which is an outline of all of the currently available and soon to be released PHR reports. This is a visual representation only.

Scroll to the bottom of this PHR Report Tree and click on the Link to WOW Front Page. Click the WOW Login button. After logging into WOW (with a unique WOW username and password), select the PHR Queries & Reports folder which will be displayed in a Brio Reports window. This will display a list of all of the currently available reports. Click on the desired report. Remember each time you "open" a report it launches a new browser window (Netscape or Internet Explorer). It is recommended that you close this window prior to opening a 2nd or 3rd report.

REPORTS for MAINTAINING and PROCESSING PHR:
(The following reports should be run regularly and appropriate action taken.)

EMPLOYEE

Employee Lookup - all PHR data warehouse users have access to this simple query. It is intended to be a quick way to tell if a person is a currently active employee at the University. It gives basic employment and business address information.

PHR EDV (Employee Data Validation) - a comprehensive display of most details of a given employee's PHR information. Appointment data, salary and funding facts, demographic details, faculty particulars, and so forth - all are displayed on an easy-to-see screen or can be printed on one page for filing or other uses.

Emergency Contacts - lists emergency contact information for current employees.

Loss of Benefits - indicates Regular and Contingent 2 appointments whose FTE's have dropped below 50%, affecting employee benefits.

Retirement Selection Pending - indicates those employees who are eligible for but have not yet indicated a retirement plan. The report is organized according to the number of days outstanding the selection has been pending: > 90 days, 60-90 days, etc.

No W-4 Received - indicates employees who did not submit an IRS W-4 form to Payroll Services. Without a W-4, the employee will be set up to be max-taxed by the Central Payroll Bureau.

VISA Report Suite - indicates those employees on VISA's.

All Employees with Visa's - indicates all employees on Visa's and displays pertinent visa information.
Expiring Visas - indicates employees whose VISA's are expiring. Necessary corrections to VISA information must be made in PHR before the expiration date arrives.

POS MGMT

Position Management Report - lists all of your positions, vacant and occupied, budgeted and non-budgeted (i.e., Contingent 2 employees). Relevant position management information is given on all positions, and the name of the associated employee is given for occupied positions.

APPOINTMENT

APPT Activity Suite - lists all appointments according to the Departments and Population you select and within the date ranges you enter on the Start page. Or, you can focus on any of the following appointment activity sub-sets:

New Hires - indicates new hires. Use to monitor the receipt and PHR entry of appropriate employee benefits, tax and visa forms, etc. which should be forwarded to Payroll Services and Personnel Services.
Expiring Appts - indicates appointments that are expiring. Re-appointments should be processed if employee is to continue.
Pending Appts - indicates transactions for new appointments that are "pending". Transactions should be released for approval and approved.
Pay Rate Exceptions - indicates appointments whose base salary or hourly rate exceeds the pay exception amount. Department must submit appropriate paperwork to Personnel Services and receive approval in order to pay employee at the rate indicated.

Salaries and Additions - lists salary, salary additions, funding sources, and all relevant effective and expiration dates, and percentages. A sub-selection allows you to focus on:

Expiring Salary Additions - indicates salary additions to base pay that are expiring. If salary addition is to continue, salary addition transactions must be processed in PHR.

Funding Sources Report - lists funding account information for each appointment, including effective and expiration dates, funded amounts, and funding percents. A sub-selection allows you to specify:

Expiring Funding Sources - indicates appointments whose funding sources (accounts) will expire on or before the selected date. Funding source transaction should be processed to reflect 100% funding on appropriate accounts. Clearing account must be cleared for accounts that expired during the pay period.

Appts vs. Pos Mgmt - indicates position title or other changes in Position Management that do not match corresponding data of employee appointed to that position. PHR appointment transaction(-s) should be processed to update mismatched data where appropriate.

TIME and LEAVE

Leave Balances Report - indicates all leave earning, usage, adjustment and balance information for each employee, by leave type. Compares current (selected) Pay Period to the previous one. Used to monitor leave usage, make corrections where necessary, and advise you on available balances.

Timesheet Signatures - lists employees who submitted time per selected Pay Period, and indicates whether or not the employees signed their timesheet and whether or not a supervisor approved it.

Pay Basis Report - indicates hours worked, OT hours, unpaid leave, premiums, and adjustments to time or leave. This is an exceptions report which is to be used during phased PHR implementation to calculate exceptions-to-pay for entry on the payroll journals.

Faculty Leave Report - lists all faculty currently on Sabbatical leave (or LWOP), giving their starting and ending dates, percent of pay, and other pertinent information.

SECURITY

Work Groups Report - indicates employees and supervisors associated with time entry work groups. To be used to re-align supervisors and employees in work groups.

PHR Security Report - indicates department approvers and creators. To be used to re-align approvers and creators.

PHR Reports still Under Construction:

EMPLOYEE

Pay Check Distribution Report - lists all currently active, paid employees, giving the pay check distribution site and other pertinent information related to the disbursement of pay checks.

Separated Employees - lists those employees who have been separated from the institution.

APPOINTMENT

Probation Report - lists those non-exempt employees who are on probation and allows a sub-selection on those whose probation will be expiring within a specified time frame.

TIME and LEAVE

Extended Leave Report - lists all employees currently on any type of extended leave without pay (other than sabbaticals), giving their leave starting and ending dates, percent of pay, and other pertinent information.

ADJUSTMENTS

PHR Adjusted Records - indicates adjustment records which are Pending but Not Released, and/or Released but Not Approved.

PHR Incomplete Records - lists records which were partially entered, but never completed for processing.
